We are looking for a responsible Administrative Assistant to work under the Production Manager to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. The ideal candidate should have excellent oral and written communication skills, and be able to organize their work using tools, like MS Excel and office equipment.

Hours are 7am/8am -3pm/4pm but somewhat flexible.

 

Duties and Responsibilities include the following. Other duties may be assigned.

 

· Answers telephones, takes accurate messages, and transfers telephone calls to the appropriate person in an efficient manner.

· Operates standard office equipment efficiently such as photocopy machine, computer, calculator, telephone, and facsimile machine.

· Performs various clerical duties such as word processing, data entry, typing, photocopying, faxing, and collating.

· Performs assigned filing duties accurately to include creating and maintaining filing systems as well as filing and retrieving records.

· Matches BOL for product purchase with vendor invoices and inbound log to ensure accuracy for computer entry on a daily basis.

· Performs other related duties as assigned.

Compensation will depend on experience. 

 

 

Key Responsibilities:

 

  1. Inventory Management:

    • Keep track of inventory levels to ensure accuracy in stock.
    • Participate in inventory counts and manage inventory records.
  2. Shipping and Receiving:

    • Verify and keep records on incoming and outgoing shipments.
    • Prepare items for shipment, ensuring proper packaging, labeling, and documentation.
  3. Documentation and Record Keeping:

    • Prepare shipping documents, like bills of lading, shipping orders, and other records.
    • Maintain accurate logs of all shipping and receiving activities.
  4. Coordination and Scheduling:

    • Schedule incoming and outgoing shipments to optimize dock usage.
    • Coordinate with carriers, freight forwarders, and internal departments to ensure smooth operations.

  • Attention to Detail: Precision in handling, recording, and managing inventory and shipments.
  • Organizational Skills: Effective at scheduling, organizing, and prioritizing tasks.
  • Technical Skills: Proficient in using warehouse management software and equipment.
  • Communication: Strong verbal and written communication skills.
